YouTrack tutorial Part3: How to Add users to YouTrack
In this second part of our YouTrack tutorial series, we’ll walk you through the steps to add users to YouTrack instance. 👥 By the end, you’ll be able to onboard your team effortlessly and assign appropriate roles to keep things running smoothly.
Managing a team is about collaboration and communication. Whether you’re a software engineer, developer, or project manager, having a smooth process for adding and managing users in your tools is essential for maintaining productivity and order 🛠️. Your team needs to access the right information and perform their tasks efficiently. That’s why understanding how to set up user roles and permissions in your bug tracker is key to avoiding bottlenecks and confusion.

Step 1: Navigate to Access Management 🔑
Once you’re in the YouTrack dashboard for your project, head to the Access Management section. You can find this by clicking on the gear icon (Cog-wheel) ⚙️ located in the top-right corner of the dashboard. From there, select Users to view the list of users who currently have access to the project.
Step 2: Add Users to YouTrack 👥
In the Users section, you’ll notice that the only user by default is the admin. To add a new user:
- Click on New User… ➕.
- You can Invite users to join by specifying their e-mail addresses, or you can Create user.
- When creating a user, enter the user’s Full Name, Email address and specify Password. You can then send them the password and force them to change their password🔒.
- When you invite one or more users, all you need to do is enter their e-mail addresses.
- After filling in the details, click on Create to finish the process.
Step 3: Assign Roles and Permissions 🛠️
After the user is created, it’s important to assign them the correct roles:
- Go to the Roles section within the user profile.
- Click on Grant role… to grant the role.
- Choose roles like Project Admin, Contributor, Issue Creator, Issue Reader, Observer or System Admin based on their responsibilities.
- Ensure that the permissions match the user’s duties within the project.
Step 4: Managing User Groups and Roles 🎯
You can also assign users to specific groups, which can make it easier to manage permissions for multiple users. For example, you might want to group users into teams with different roles, such as developers, project managers, or quality assurance specialists.
Step 5: Inviting Additional Team Members ✉️
To invite more team members, repeat the process by clicking on Invite User again, specifying their email, and assigning them the necessary role. YouTrack also allows you to enable two-factor authentication 🔑 for added security, although this step is optional.
